Give us the building and what the system is doing. A written description of the fault is usually the more useful start, because it is the thing we take to the survey. If it is quicker to say it out loud, the number is above.

WHAT TO HAVE TO HAND
  1. Which building, and roughly how many units or doors the system covers.
  2. Which system is involved — CCTV, access control, intercom, perimeter, networking — or that you are not sure, which is a normal answer.
  3. What is actually happening, and how many units or entrances it affects. The pattern narrows the fault faster than a description of the symptom.
  4. When it started, and whether it is constant or comes and goes.
  5. What has already been done, by whom, and whether any drawings, service records or manuals exist.

None of it is required to get in touch. It is simply what turns a first conversation into a useful one.
